A4962- Facility & Event Management Coordinator (HYBRID)

What days will the worker be expected to work?: M-F
What hours will the contingent worker be expected to work?: 7:30 am - 4pm
The position requires a minimum of 3 days in the office each week, with some flexibility for remote work.

We are seeking a dynamic and organized professional for a temporary, approximately 3-month assignment based in Palm Beach Gardens. The role supports ongoing facility and customer engagement activities while our full-time team member is on a stretch assignment. Requirements & Qualifications
- Bachelor s degree required
- 3+ years of progressive experience in Business Administration, Marketing, Sales, or related fields
- Experience engaging with key customers and sales teams
- Highly organized, detail-oriented, & proficiency using data management tools like Excel and/or Airtable
- Passion for creativity and process design implementation
- Outgoing, engaging personality that can influence without authority in a highly matrixed environment
Responsibilities
Facility & Event Management
- Coordinate and own logistics, approvals, and documentation for the use of the Innovation Experience Center (IXC) in Palm Beach Gardens
- Act as onsite support/coordinator/quarterback for IXC events, including setup, documentation, notetaking, and follow-up
- Support and participate in pre-event, on-site, and post-event planning calls
- Lead data entry and management across teams for enabling tech & joint events
- Maintain site relevance through stakeholder meetings, incorporating latest NPIs and content updates
- Continuously audit content for relevancy and coordinate updates and improvements
- Manage inventory audit, product management, and replenishment for all IXC products
- Promote & enable facility utilization among product marketing teams & other key stakeholders to maximize the value of the space
Customer & Stakeholder Engagement
- Partner with professional education and marketing on all Customer Education Visits and Marketing/R&D for VOC customer visits (scheduling, logistics, meals)
- Serve as onsite point person for customer visits, ensuring facility readiness, demonstrations, and visitor support
- Develop needs assessments and support contracting for VOC events
- Support key internal meetings leveraging the IXC
- Support post-visit activities: contracts closure, marketing actions, sales follow-up
- Gain product and clinical knowledge to support customer engagement and cross-functional team planning
Process & Content Management
- Monitor processes and make recommendations for experience enhancements across all phases
- Make recommendations on internal & external customer event questionnaires to inform process enhancements
